Privacy Policy

This policy explains what information NEKS (“NEKS”, “we”, “us”) collects, how we use it, and the choices you have. It applies to neks-ai.com, our customer dashboards, and the AI agents we operate on behalf of our customers.

Who this applies to

We handle two kinds of information. Customer data is what our business customers configure and what their own customers send to an agent (for example a diner booking a table, or a shopper placing an order). For that data our customer is the controller and NEKS is the processor — we handle it under their instructions and our agreement with them. Site and account data is what you share with NEKS directly when you visit our website, contact us, or run a NEKS account; for that data we are the controller.

Information we collect

  • Contact & enquiry details — your name, email, business name and message when you request access or contact us.
  • Account details — the email and organization information used to sign in and manage a subscription.
  • Billing information — invoices and subscription status. Card and bank details are handled by our payment providers; NEKS does not store full payment credentials.
  • Content processed by agents — conversations, leads, reservations and orders that flow through an agent on behalf of our customer.
  • Technical & usage data — log data, device and browser information, and basic analytics needed to run and secure the service.

How we use information

  • Provide, operate and improve the service and the AI agents.
  • Set up accounts, process subscriptions and send service-related messages.
  • Respond to enquiries and provide support.
  • Keep the service secure, prevent abuse, and meet legal obligations.

We do not sell your personal information, and we do not use customer conversation content to train foundation models.

Service providers we rely on

We use a small set of trusted providers to run NEKS, and share only what each needs to do its job:

  • Cloud hosting and database (for running the platform and storing data).
  • AI model providers (to generate agent responses).
  • Email delivery (for notifications and account email).
  • Payment providers (to process subscriptions and invoices).
  • Messaging platforms such as WhatsApp and Instagram, and calendar booking (only where a customer connects those channels).

These providers may process data outside your country. We take reasonable steps to ensure appropriate protections are in place.

Data retention

We keep personal information only as long as needed to provide the service, meet legal and accounting requirements, and resolve disputes. Customer data is retained according to our agreement with the customer, and deleted or returned on request after an account closes.

Security

We use industry-standard measures — encryption in transit, access controls and tenant isolation — to protect information. No method of transmission or storage is completely secure, but we work to protect your data and to notify you of significant incidents where required.

Your rights

Subject to applicable law, you may request access to, correction of, or deletion of your personal information, and object to or restrict certain processing. If you are an end customer of one of our business customers, please contact that business first; we will support their response. To make a request to NEKS directly, email hello@neks-ai.com.

Our website uses only the cookies needed to run the site, keep you signed in, and understand basic usage. You can control cookies through your browser settings.

Changes to this policy

We may update this policy as the service evolves. We will change the “last updated” date above and, for material changes, provide a more prominent notice.
